How a Propane CSR at Valley Energy Is Bringing the Office to the Field

In the propane industry, as in many others, office and field teams often operate in separate worlds. While customer service representatives (CSRs) handle incoming requests and administrative work from the office, delivery drivers and service technicians focus on their technical routes. Bridging this natural divide is rare, but it is essential for a truly seamless customer experience. 

Cierra, a propane CSR, joined the Valley Energy family just over a year ago, but her impact quickly expanded far beyond the office walls. While her initial role focused on answering phones and responding to emails, she seized the opportunity to dive deeper into the propane department when it arose. Over the past year, Cierra discovered a passion for the service side of the business. Today, she works side-by-side with Valley Energy’s propane delivery and service departments to ensure our customers have the best possible experience. 

To better understand what our drivers and technicians encounter daily, Cierra spends time in the field each month, riding along on deliveries and learning the technical side of the job firsthand. After her first delivery ride-along, she discovered a love for being in the field where the action is. This motivated her to begin the process of earning a commercial driver’s license (CDL) so she can one day hop behind the wheel of a delivery truck herself. 

Following her most recent delivery ride-along with Valley Energy driver Tommy, Cierra reflected on why these field experiences are so vital for office staff. 

Hutson: Why do you think it is important for you to do a ride-along with our propane driver? 

Cierra: Doing a ride-along with a propane driver is incredibly valuable for a CSR because it bridges the gap between office operations and field reality. When you see a driver struggle to find a tank or maneuver a large truck because of a lack of information, it teaches you exactly why detailed, accurate delivery notes matter. Having firsthand knowledge of the delivery process allows you to set realistic expectations for customers. You can better explain delivery windows, why a driver might not have been able to safely access a property or what preparations the customers need to make. It builds a stronger working relationship between the office staff and the drivers. Understanding their challenges helps eliminate friction, reduces communication errors and creates a more cohesive team focused on the same goals. 

What was most memorable about the day? 

The most memorable delivery was a pool heater tank in Great Falls, Virginia. This delivery was a true obstacle course. We had to enter through a gate on the far left of the property just to unlock a second gate on the right. From there, we had to walk past an in-ground pool and pass through a third gate just to access the tank. 

To make matters worse, our hose couldn’t reach the tank from the driveway or the side road. We ended up having to drive over to the neighbor’s property and work together to pull the hose over the back fence to complete the fill. While we managed to make it work as a two-person team, 99% of our drivers run these routes completely alone. If every delivery required this level of field problem-solving, our daily efficiency would plummet. It really puts into perspective what our drivers face out there every day. 

What is one thing you learned that you did not know before this ride-along? 

I learned just how critical a physical route sheet is for our drivers. The system we use in the office differs significantly from the version the drivers see on the road. On our end, we can view the entire route alongside all special notes and alerts simultaneously. On their screens, however, drivers have to manually click into each individual ticket to see that information. Providing them with printed route sheets saves a lot of time and phone calls while giving them the same comprehensive view of the route notes we have. 

Seeing Service Firsthand 

Beyond her delivery routes with Tommy, Cierra recently took to the field to learn the mechanical side of the business alongside Valley Energy technician, Dan. 

Hutson: Why do you think it is important for you to do a ride-along with our propane tech? 

Cierra: I think it’s so important to get out in the field because it gives context to the calls we take every day. Experiencing how things are actually installed and how they run makes a huge difference. It gives me the background knowledge I need to answer customer questions confidently and handle service calls with much more insight. 

What did you see & experience? 

Throughout the day, I had the opportunity to observe and participate in a diverse range of field procedures: 

Stop 1: Assisted in troubleshooting a grill with restricted propane flow. We discovered the hose was severely clogged with mud, pollen and bee larvae, which we cleared using an air compressor. Afterward, I learned how to properly adjust pressure at the regulator. 

Stop 2: Helped finalize a connection for two pool heaters. I gained hands-on experience assembling black iron pipe (which is quite a messy process!), connecting vent lines to regulators and understanding the trenching and burying requirements for underground lines. Once the heaters fired up successfully, we painted the iron pipe to prevent future rust. 

Stop 3: Participated in a cathodic retest on a previously failed tank. When it failed initially, we troubleshot the system and discovered a previous anode bag replacement had left both lines running into the dome, causing some technical confusion. After rewiring the anode correctly, the cathodic test passed. 

Stops 4 & 5: Performed safety and soap-leak checks in a neighborhood where the fire department recommended neighborhood-wide inspections following a leak at a noncustomer home. Both tanks passed with zero leaks, and their cathodic readings indicated excellent underground conditions. To wrap up, I learned how to safely relight a residential water heater. 

Office: Concluded the day by learning how to install a tank monitor on our own generator tank. Because this specific monitor had reporting issues, setting it up at the office gives me a great opportunity to troubleshoot future monitor issues myself. 

What is one thing you learned that you did not know before this service ride-along? 

Dan was an excellent teacher and shared a lot of great insights. He took the time to show me how our storage building is organized, which helped me put names to a variety of parts and tools I wasn’t familiar with before. Most importantly, the ride-along showed me that technicians never truly know what they will encounter on-site. This highlighted why it’s so essential for CSRs to ask detailed questions and get as much context as possible during customer calls. 

Impact in the Office 

Cierra’s journey from the desk to the field shows us something special: The best customer service doesn’t just happen behind a computer screen. 

By stepping out of the office and hopping into the passenger seat, Cierra did so much more than just learn how propane gets delivered or how equipment is serviced. She completely changed how she looks at her daily office work. 

Gaining this firsthand experience has turned her into an even stronger teammate, a sharper problem-solver and an advocate for both our customers and our crew. 

This kind of hands-on learning helps bring our Valley Energy family closer together. When you spend a day in someone else’s boots, it is easy to appreciate how hard they work and the unexpected challenges they face. That kind of understanding builds a bridge of respect between the office and the road, making communication smoother and helping everyone work together as a team. 

Cierra credits the hands-on approach of working in the field for her rapid growth and recommends that every CSR experience at least one day riding along with a delivery driver or service technician. 

A CSR is so much more than just a friendly voice on the phone. By bridging the gap between office operations and the field, CSRs become true champions for everyone involved.
